What types of dentists can you help me find? Does this include specialists?

Whatever you require! Our team helps with the placement of full-time, part-time, specialist, and locum dental associates for our clients.

What if the associate leaves my practice shortly after being hired?

Heaps & Doyle is so confident in our screening and compatibility processes that we offer a 120 day guarantee. If for any reason the associate leaves the practice, we will identify a replacement candidate at no additional fee.

Do you have existing candidates who may be suited to my position?

We do maintain a database of eligible candidates. Since quality candidates aren’t on the market for long, we typically advise clients to send out a new posting specific to their position.

How much do your associate placement services cost?

This can vary depending on the nature of your posting, location, market conditions, and a variety of other factors. Please call us to discuss your hiring plans and we will provide you with a detailed estimate. However, our fees are very low compared to the opportunity cost of lost revenue when a clinic doesn’t have enough dentists.

It should also be noted that most of our fees are tied to the benefits that you receive, with 50% of the fees payable when we present at least two candidates, and the final 25% when you have a contract with your new associate dentist.

Do I get a refund if no associate is found?

We are committed to continuing our search for one year. Since 75% of the fees are tied to when we present candidates and a contract is signed, we bear most of the risk of an unsuccessful search. Therefore, you may choose to pause the search without incurring a significant investment in the process. While the 25% initial deposit is non-refundable, this covers our costs of initiating the personality profile assessment and the search.

How does it work?

We dedicate ourselves to finding the Perfect Fit. We ensure the associate has the right skillsets and requirements for your practice – and that their aspirations, career goals and working styles are a match for you and your office. We utilize various tools, including Kolbe Assessments as part of an in-depth review process, to ensure your complete satisfaction.

We conduct all of the legwork, advertising, interviews, assessments, background and reference checks on your behalf. So that by the time a candidate is in front of you, it can be as simple as a yes or a no.

What steps are involved?

Hiring an associate through Heaps & Doyle generally involves the following steps.

  1. Sign letter of engagement
  2. Submit 25% deposit
  3. Complete practice questionnaire
  4. Personality profile assessments
  5. H&D conducts a review of current candidates
  6. We advertise/market the position
  7. We vet potential candidates and conduct initial interviews
  8. We introduce you to two or more candidates
  9. Invoice and payment of 50% of Fee
  10. We host your final interview with candidates
  11. You enter into contract with your new associate dentist
  12. Final invoicing and payment
  13. Onboarding and coaching                    
How long does it take?

There are many internal and external factors that can affect the timeliness of finding and placing an associate.

Depending on the location, the opportunity, the availability of candidates, and the contract the placement process can take anywhere from a week to a year.

What if I find my own associate?

We retain your file until you require another associate. We like to work hand in hand with clients and any potential applicants so that we can ensure they are a fit for you and your practice.
